Administrative Office Manager
The Administrative Office Manager is a part time, typically 20-30 hours per week, 12-month position, tasked with overseeing the administrative operations for the Newman Communities at the University of Rochester(UR) and Rochester Institute of Technology(RIT). Collaborating closely with the Director, the position ensures administrative tasks are fulfilled following established University and Diocesan protocols including spearheading the established communications and fundraising functions to ensure and enhance the Community’s growth, supervising professional and student workers and supporting a strong interaction with diverse constituencies including students, parents, alumni, university, and diocesan staff. The ideal candidate will be someone who seeks to support Newman’s mission and is driven to positively impact students’ lives and the Catholic faith on campus.
Principal Activities
- Oversee and coordinate all administrative functions for organization including purchasing, scheduling, and payroll verification.
- Develop, oversee and execute mirrored communication plans that engage UR & RIT constituents for support, including stewardship.
- Collaborate with UR & RIT Advancement teams as necessary.
- Manage and oversee donor database according to established metrics.
- Implement semiannual data exchange with universities.
- Prepare Advisory Board meeting agendas, communications, and minutes.
- Establish strategies to facilitate administrative functions for new Catholic Chapel and Center at UR.
- Supervise student workers assigned to administrative functions.
- Support stewardship activities both on campuses and at remote locations.
- Serve as the point person for office manager duties including maintenance, mailings, supplies, equipment, bills, errands, shopping, etc.
- Coordinate with IT department on all office equipment.
- Provide general support to visitors and pastoral support to students if requested.

- Possess exceptional verbal and written communication skills.
- Proven track record of cultivating and maintaining professional relationships.
- Highly creative, organized, and self-motivated with a task-oriented approach.
- Capable of prioritizing and managing multiple projects simultaneously while maintaining efficiency.
- Proficient with the Microsoft Office suite and understanding the purpose and functionality of database management software.
- Able to work in a dynamic environment with a team and able to work with and supervise students.
- Demonstrated flexibility and ability to adapt to new situations and challenges.
- Some proficiency in data analysis, particularly using Microsoft Excel or SQL.
Qualifications
- Supportive of Newman mission and Catholic values.
- Bachelor’s degree. (Extensive experience may be considered in lieu of educational requirements.)
- Experience managing administrative functions and problem-solving.
- General knowledge of communication and marketing skills with previous experience helpful.
- Available for working nights, weekends and occasional travel on a minimal basis.
