Finance and Operations Manager
POSITION PURPOSE:
As a Parish Staff team member, you will provide financial management and operational support for Blessed Trinity and St. Patrick Parishes in Owego, NY. This role involves ensuring adherence to all Diocesan policies and assisting the Pastors and Finance Director in achieving annual operating goals and objectives.
REPORTS TO: Pastor and Regional Finance Director
HOURS: Part Time (20-25 hours per week), Hourly wage beginning at $27.00/per hour
LIST OF JOB DUTIES:
Accounting and Reporting Functions:
- Serve as liaison with Shared Service Center for all accounting functions, including Payroll, Collections, Accounts Payable and Bank Reconciliations.
- Initiate EFTs.
- Support Counter Team Leaders in recruiting, training, and scheduling counters, and in ensuring parishes follow all Diocesan Policies & Procedures for collection, securing, and counting funds.
- Order and oversee the maintenance and distribution of tamper-evident bags and logs.
- Verify all Accounts Payable invoices and ensure timely bill payments in conjunction with Shared Service Center and coordinate check signings.
- Order banking supplies, including checks and deposit slips, as needed.
- Process check requests and verify proper authorization for expenditures.
- Assist the Finance Director with Purchase Orders/requests by assigning PO# and ensuring appropriate documentation is submitted.
- Assist the Finance Director in gathering Finance Council meeting reports.
Payroll and Human Resources:
- Assist in the collection, verification, and submission of contract employees’ timecards and reconcile invoices upon receipt.
- Onboard and train new employees when needed. Duties will include review and approval of weekly/biweekly timecard as well as approval of employee expenses in accordance with Diocesan and IRS policy.
Donor Management:
- Ensure weekly gifts and donations are entered into the Parishsoft database.
- Assist donors/parishioners with online giving, envelopes, and other donation methods.
- Coordinate the creation and mailing of year-end donor letters.
Fundraisers:
- Ensure all fundraisers comply with DOR, NYS, and other applicable policies and laws.
- Coordinate/assist staff and/or volunteers with fundraising processes, including the use of tamper-evident bags, logs/tickets, etc.
- Apply for and manage liquor licenses, when applicable.
Facilities Management:
- Day to day supervision of maintenance staff.
- Oversee building projects and work with Finance Director to obtain vendor quotes.
- Ensure all risk management documents are obtained from vendors (including COI, HH and W-9).
Miscellaneous:
- Submit the YE 1099 Vendor Report to the Shared Service Center for tax filing.
- Attend Finance Council meetings.
- Assist Finance Director in preparation of annual budgets.
- Assist the Finance Director in obtaining Conflict of Interest Disclosure Statements, Credit Card Acknowledgments, Collection Counting Acknowledgments, etc.
- Implement and manage a system for storing archived files in accordance with DOR policy.
- Cemetery records maintenance. Facilitating the allotment of plots. Monitoring the upkeep of the cemetery.
- Any other duties as required by the Parish or the Finance Director.
NECESSARY QUALIFICATIONS:
Education: Bachelor’s degree in accounting or finance preferred. Associates degree with necessary experience.
Experience/Qualifications:
- A bachelor’s degree in accounting or finance is preferred.
- Entry-level candidates with a strong academic background and relevant internship or volunteer experience will be considered.
- Familiarity with financial standards, principles, and practices.
- Developing interpersonal, negotiation, communication, and organizational skills.
- Ability and willingness to travel between church locations or to Diocesan events.
- Ability to work independently and demonstrate problem-solving skills.
- Demonstrated computer skills with Microsoft Office (Excel, Word, etc.) and the ability to learn and adapt to new programs.
