Part-Time Secretary

St. Joseph Parish
St. Joseph’s Church and the Church of the Holy Spirit are seeking an energetic, self-motivated team player with well-developed administrative and communication skills, to work collaboratively with pastoral and administrative staff on carrying out the mission of our one Catholic community. The individual will be responsible for a variety of support tasks for various ministries and parish administration.
Responsibilities include:
- Greeting all visitors and callers with hospitality and a pastoral spirit, providing direction or referrals to how they can best be assisted.
- Answering phone calls for both parishes (on one system).
- Responsibility for weekly joint bulletin creation in Publisher, distribution for review, timely submission for publication, distribution in churches and office.
- Responsibility for weekly parish email creation in Constant Contact.
- Sorting and distributing mail.
- Booking rooms for meetings and events.
- Supporting pastoral staff with creation and printing of funeral Mass materials.
- Printing liturgical materials for weekend and special Masses, as needed.
- Assisting secretary responsible for scheduling Baptisms, Weddings, etc.
- Scheduling Mass Intentions as needed.
- Maintaining census data in Parish Database (ParishSoft).
- Locking the office and church at the end of the day.
- Supervising & coordinating with office volunteers.
- Supporting staff as needed with ministries such as Faith Formation, Youth Ministry and Confirmation, Parish Council, Adult Formation, Social Outreach.
- Gather data and prepare annual Kennedy Report.
- Manage parishioner collection envelope needs and holiday mailings.
- Additional duties may be assigned.
Experience/ Skills required:
- Proficiency with Microsoft Office (especially Word, Publisher and Excel).
- Proficiency with (or willingness to learn) Canva, Constant Contact, Social Media.
- Ability to work well under pressure and in a fast-paced environment.
- An understanding of the Roman Catholic Church and liturgy is needed.
Hours: 20 weekly
Pay Range: $18 to $20 per hour depending on experience and skills
Schedule: 8:30am – 5:00pm Monday, 8:30am – 2:30pm Wednesday, 8:30am – 5:00pm Friday
Work Location: St. Joseph’s Pastoral Offices
